What Is a Guest Folio in a Hotel?

What is a guest folio in a hotel? A plain-English guide to room nights, extras, advances and settlement, folio vs invoice vs receipt, and a sample layout.

A guest folio is the running account of one guest's stay. Every room night, every dinner sent to the room and every advance paid on UPI goes onto it, and at checkout it tells the desk what the guest still owes. If you have stood at a Srinagar front desk at 7 in the morning, rebuilding a bill from a register, a kitchen slip and a WhatsApp screenshot while a family waits for their airport cab, you know why it matters.

Below: what goes on a folio, how it differs from an invoice and a receipt, a sample layout, why paper and Excel folios break, and how HotelBooks, our hotel management software, keeps one folio per stay.

What a guest folio is

The plain hotel folio meaning: one page, or one screen, that belongs to one stay. It opens at check-in, stays open while the guest is in the house, and is settled and closed at checkout. It is not a bill you hand over once. It is a live record that grows during the stay and only becomes a final bill at the end.

What goes on a guest folio

Most folios carry four kinds of entries.

Room nights

One line per night, posted by the desk or by the system at night audit. A couple staying three nights in Pahalgam gets three room lines, not one lump sum. That matters when they leave a night early, or when the rate changes mid-stay.

Extras and services

Anything the guest uses on top of the room: meals and room service, an extra bed for a child, laundry, a heater in a Gulmarg room in January, an airport drop. On a Dal Lake houseboat it might be dinner on board or a shikara transfer arranged by the owner. Post each one the day it happens, with a description the guest will recognise.

Advances and payments

Money received before or during the stay: a booking deposit, a UPI payment at check-in, cash handed over on day two. These sit on the payment side of the folio, so the balance is always charges minus payments.

Settlement at checkout

The final payment that brings the balance to zero, and how it was paid. If a travel agent is paying part of the stay, the folio should show which charges go to the agent and which the guest pays at the desk.

Guest folio vs invoice vs receipt

Small hotels often print all three from the same sheet, so they get mixed up. They do different jobs.

  • Folio: the working account of the stay. It changes every day and shows the running balance.
  • Invoice: the formal bill raised for the final charges, usually at checkout. In India a GST-registered hotel issues a tax invoice that has to carry the details the law asks for. The rules on what a tax invoice must show are in the GST Acts and Rules, which you can read on the CBIC GST site. Check them, or ask your accountant, rather than copying another hotel's format.
  • Receipt: proof that money was received. A guest who pays an advance gets a receipt for that amount. It says nothing about the full stay.

Hotel folio vs invoice in one line: the folio is how the bill is built during the stay, and the invoice is the bill you issue when it is done. A good folio makes the invoice easy, because every line is already there.

A sample guest folio layout

Here is a simple guest folio in hotel sample format, with the amounts left blank. The top of the folio usually carries the folio number, guest name, room number, arrival and departure dates, number of guests, and the booking source (direct, OTA or travel agent).

Date Description Charges (Rs) Payments (Rs)
Day 1 Advance received by UPI at check-in   Rs ____
Day 1 Room night, Deluxe room Rs ____
Day 1 Dinner, room service Rs ____
Day 2 Room night, Deluxe room Rs ____
Day 2 Extra bed Rs ____
Day 2 Laundry Rs ____
Day 3 Airport drop Rs ____
Day 3 Taxes as applicable Rs ____
  Totals Rs ____ Rs ____
Day 3 Balance settled at checkout (cash, card or UPI)   Rs ____

Two habits keep a folio like this honest. Post each charge on the day it happens, and never delete a wrong line. Reverse it with a correcting entry, so anyone reading the folio later can see what changed.

Why paper and Excel folios break at checkout

A register or an Excel sheet works when the hotel is quiet. It fails in the weeks that matter most.

  • Charges live in different places. The kitchen keeps its own slips, the driver mentions the airport run on WhatsApp, and the advance is in the owner's bank app. Whatever gets missed at checkout is lost revenue.
  • Corrections disappear. In Excel a wrong figure gets typed over, so when a guest disputes the bill there is no record of what changed.
  • Agent and OTA bookings get mixed up. A Pahalgam hotel in peak season can have direct, OTA and travel-agent guests in on the same night. If the folio does not say who pays what, the guest gets billed for nights the agent already paid for.
  • Checkout queues. Rebuilding six bills at once on a winter morning in Gulmarg, with guests waiting in the lobby, is how mistakes happen.

None of this is about the staff being careless. The folio simply has no single home.

How HotelBooks keeps a folio per stay

In HotelBooks, each stay has a folio with its bill, so checkout does not start from a blank sheet. The folio sits in the same workspace as the reception board, which shows arrivals, departures and in-house guests, and next to the rooms and rates the guest is staying on.

Reservations from the online travel agencies come into that same workspace as direct bookings, and commission owed to travel agents is tracked in the PMS instead of being worked out later on paper. Billing is in INR. Moving from another system? It imports from Bookingjini and CSV.

If you are still comparing options, our checklist for choosing hotel software for small hotels in India covers what to look at beyond the folio.

Questions front desks ask about folios

Can one stay have more than one folio?

In many hotels, yes. A common case is an agent booking where the agent pays for the room and the guest pays for food and extras. Separate folios keep each bill clean.

Is the folio the same as a GST invoice?

No. The folio is the record of the stay. A GST-registered hotel issues a tax invoice for the final charges, and what that invoice must contain is set by GST law, not by your folio format.
